​1. What types of records do you rely on most in your school?

​Ans: The types of records I rely on most in my school:

(i) Time Book

(ii) Class registers/attendance

(iii) Student progress reports

(iv) Financial records

(v) Examination files

(vi) S.I.G

(vii) Admission Book

(viii) Log Book

(vii) Payment vouchers

(x) Monthly returns

​2. How do these records help you make decisions, plan activities, or write reports to stakeholders like MOBSE or your community?

​Ans: First of all, I would say these records help me a lot, especially in tracking student performance and planning some of the school activities. Also make some community outreach PTA meetings and help in reporting students’ performance and also report to some of the stakeholders, like the regional office, to address some issues like transparency and accountability in my schools.

​3. Have you faced challenges in organizing or protecting school records, especially in rural or resource-limited settings? How have you addressed them?

​In any institution of learning you must face challenges. Yes, I have faced a lot of challenges in organizing and protecting school records. Like, my staff is not enough because of inadequate infrastructure. We lack computers and printing machines, and we are seeking community support through PTA.

How we addressed some of them is by using our mobile phones to keep records of hard copies or writing on books.

​4. With tools like Semis now being introduced, how do you see digital record keeping changing your work as a school leader?

​Digital record keeping is now going to change a lot in schoolworkas a school leader. Some of these systems in place, like Semis, will be key to streamlinecertain tasks and help in data accuracy and informed decisions, e.g., (i) Data security (ii) increases the level of data transparency (iii) and enhances collaboration.

 In doing that, digital recording boostsquality education.

​5. What best practices would you recommend to other head teachers for improving accountability and service delivery through records management?

Ans: Some of the best practices I would recommend to head teachers are:

(I) Train staff

(II) Conduct termly audits

(III) Implement digital record-keeping

(IV) Promote transparency

After this is done, now you improve on accountability, service delivery, and also on overall school performance. Try to also lead by example, and always monitor and evaluate.

i agree with you that digital record keeping is key in this modern generation, because information is vital and need to be protected and accessible.
